A working checklist for printing an annual report: timeline, content sign-off, design, proofs, print specification and delivery to stakeholders.

Annual reports depend on many sign-offs. Printing goes smoothly when everything upstream is on time.

Work back from the meeting date

Fix the date the printed copies must be in hand. The Companies Act and your company’s rules set notice and circulation requirements, so confirm dates with your company secretary, then work backwards.

Content

  • Final text approved by the right people.
  • Financial statements final and audited, where applicable.
  • Charts and tables checked against source data.
  • Photos and logos supplied in high resolution.

Design

  • Cover concept approved.
  • Template and styles agreed.
  • Number of proof rounds agreed, and who approves each.
  • Page count (a multiple of 4 avoids blank pages).
  • Size, paper and binding.
  • Quantity, including spares.
  • Finishes such as lamination or spot UV.

Proofs

  • Digital proof approved page by page.
  • Printed sample, if required.
  • Written final approval before printing.

Delivery

  • Delivery addresses and quantities per address.
  • A named contact at each location.
